Information we handle
- Account information such as name, email address, authentication state, settings, and API-key metadata.
- URLs, uploaded media, extracted audio, transcripts, translations, notes, summaries, mind maps, and related job metadata that you submit or create.
- Plan, invoice, credit, usage, and payment-status records. Payment providers process payment-card details; transcript.im does not need to store full card numbers.
- Operational data such as IP address, user agent, request timing, error logs, security events, cookies, local preferences, and aggregated product analytics.
Why we use information
- Provide, secure, troubleshoot, and improve transcription, storage, export, AI, billing, and support features.
- Authenticate users, enforce published plan limits, prevent abuse, and maintain audit records.
- Communicate about transactions, security, service changes, and support requests.
Service providers and AI processing
We use infrastructure, storage, analytics, authentication, billing, email, media-processing, transcription, and AI providers to operate the product. Data is shared with a provider only as needed for that function. Public video platforms may receive normal retrieval requests when you submit their URLs.
AI output can be incorrect. Do not submit information you are not authorized to process, and review generated output before consequential use.
Retention and deletion
Retention depends on the data type, account state, selected product feature, operational backups, fraud prevention, and legal or accounting requirements. Product history may remain available to signed-in users until it is deleted or the account is closed. Temporary processing artifacts are removed when they are no longer needed for the workflow, subject to backup and security retention.
Your choices
- You can avoid creating an account for public no-sign-up workflows that the product marks as available without sign-in.
- You can manage account settings and request access, correction, deletion, or account closure by contacting support.
- You can control non-essential browser storage and analytics using browser or device settings, where available.
